Understanding Your Meeting Space View

What you see in a JustOrg Design Meeting Space depends on your role. Group Leaders (GLs) have editing and facilitation tools. Participants see a streamlined view designed for engagement.


Note: Your role in Meeting Space is determined by whether you've been designated as a Convener or Sponsor for the group. Both are Group Leaders (GLs) and have access to editing and facilitation tools. Not sure which role you are? Look for your name in the Convener/Sponsor section near the top of the page. If your name is listed there as a Convener or Sponsor, you're a GL for this group. If you have questions, ask your Sponsor.


As a Participant, You Can


  • Take notes (or hand off note-taking to someone else)
  • Vote on Decisions when a proposal is ready
  • View the full agenda, linked documents, Commitments, and Decisions
  • Download the agenda
  • See who else is in the meeting


You don't need editing access to contribute meaningfully. The GL handles meeting structure so you can focus on the conversation.


Why the Views Are Different


When you're not managing logistics, you can bring your full attention to the work. We've removed editing controls from the Participant view intentionally — not to limit you, but to keep things uncluttered.


Presence Bubble


In the top-right corner of the meeting header, you'll see a small circular icon showing your profile photo or initials, along with anyone else currently in the meeting. Everyone sees this.


  • Solid: That person is actively on the Meeting Space tab
  • Faded: They're in JOD but have switched to a different browser tab


The Meeting Options Menu (⋮)


Click the three-dot icon (⋮) in the upper right to open Meeting Options. You won't need most of these often — they're there when you do.


The menu is divided into two sections. A labeled separator marks where GL-only options begin.


Everyone can see and use:

  • Go To Planner
  • Go To Capture Board (grayed out if no Capture Board exists yet)
  • Download Agenda


Only GLs can see (below the "Options below are only visible to Group Leads" separator):

  • Pull Users to Meeting — pulls any logged-in user from anywhere in JOD directly into this Meeting Space
  • Email Agenda — sends the agenda to all invitees
  • Add New Capture Board — creates a brainstorming space for the meeting
  • Delete This Meeting — see note below


Deleting a meeting: JOD will ask you to confirm before deleting. A dialog will appear with the message "Deleting this record cannot be undone. Would you like to proceed?" with "No. Don't Delete" and "Yes. Delete" buttons. Note that meetings that already contain Notes or Decisions cannot be deleted.


Meeting Header and Details


The top of the Meeting Space shows the meeting name, date, time, video link, group name, duration, invitee count, Conveners, and Sponsor(s). The Close Meeting Window button in the upper right is visible to everyone and returns you to the Planner when clicked.


Participants see this information as read-only.


GLs can edit it. Click any text field to make changes. To edit the date, time, or video link, click the icon next to that field.


New meeting? Fields that still need to be filled in are highlighted in yellow. Once a field has been filled in, click the text in that field to edit it.


Meeting Purpose/Objectives


A brief statement of why the meeting is happening, shown directly below the meeting header.


Participants see this as read-only.


GLs can click the field to add or edit it.


Agenda Topics and Linked Documents


The agenda shows each topic, who's leading it, and the time allotted. A "Remaining minutes" counter in the upper right of the Agenda Topics section (shown in red) tracks whether your agenda fits within the meeting duration.


Participants see the full agenda as read-only. Topic names, leaders, and time allotments are visible but cannot be edited. Changes the GL makes — like reordering topics or marking one complete — appear automatically for everyone without refreshing.


GLs see drag handles to the left of each topic row for reordering, a circle to the left of each topic to mark it as complete, and "+ Add Agenda Topic" and "+ Add Document Link" buttons at the bottom of the section.


Meeting Activity


The lower section of Meeting Space is organized into three tabs: Meeting Notes, Commitments, and Decisions. GLs also see an Email Results Now button at the top of this section.


Meeting Notes


Everyone can take notes. Select yourself from the Note Taker dropdown in the upper right of the Meeting Notes tab to activate the editor. Only one person can hold the Note Taker role at a time, but anyone can claim it and pass it off fluidly during the meeting. Notes appear automatically for everyone without refreshing.


The active Note Taker also sees an Insert Content into Notes dropdown next to the Note Taker field. Use it to pull a list of Meeting Attendees or Agenda Topics directly into the notes with one click.


Commitments


Commitments are what individuals promise to deliver before the next meeting. The tab shows who owns each one, what it is, and when it's due — displayed in a Who / What / When table. Commitments belong to the group and carry forward from meeting to meeting until they are marked as complete.


Everyone can view all Commitments and their status.


GLs see a "+ Add Commitment" button in the upper right of the tab to create new ones.


Decisions


Decisions are strategic-level agreements the group makes together — not individual tasks, but agreements that shape how your group activates strategy. Decisions made in a meeting are visible within that meeting. To see all Decisions a group has ever made, visit the Group Planner.


Everyone can vote using the "Vote On Proposal" button in the upper right of the tab.


GLs also see "Create New Decision" and "Update Existing Decision" buttons in the same area.
